Deactivation vs. Removal

Deactivate

  • Purpose: Temporarily disable the person’s ability to log in or use assigned services.

  • Data retention: All profile details, activity history, and assignments remain intact.

  • When to use:

    • Employees on extended leave

    • Contractors between projects

    • Any situation where the person might return

Remove

  • Purpose: Permanently delete the person’s profile and all associated data (other than items required for legal compliance).

  • When to use:

    • Permanent departures where records are no longer needed

    • GDPR or privacy “right to be forgotten” requests

How to Deactivate or Remove

  1. Go to Connected People → People and open the person’s profile.

  2. Click the Action button (top right of the profile header).
Here you’ll find options such as:

    • Disable Account – deactivates the profile (coming soon).

    • Delete Person – permanently removes the profile (coming soon).

  3. Confirm the prompt to complete the action.

Tracking Changes

Every action, including deactivation or removal, is logged in the person’s Activity timeline with date, time, and the admin who performed it.

Tip: If you’re unsure, deactivate first. You can always remove the profile later, but deletion is permanent and cannot be undone.
