Understanding the Onboarding Flow

The onboarding flow guides each new person from initial creation to full access, ensuring no critical step is missed. Admins can track this progress in the status bar at the top of every person’s profile.

Onboarding Steps

  1. Person Created
    The profile is created with required details (email, username, etc.).
    At this stage, no dimensions or services are yet linked.

  2. Assign Dimensions
    Attach companies, departments, or other dimension types to group the person correctly and set their base permissions.

  3. Assign Services
    Link services such as building access, software modules, or other resources the person needs.

  4. Send Welcome Letter
    Send the automated welcome email that includes login credentials and any custom message.
    This step can be triggered manually or automatically, depending on your onboarding settings.

  5. Onboarded
    All required steps are complete.
    The person is now fully active in the system with assigned dimensions, services, and login information.

Tracking Progress

  • The status bar at the top of the person’s profile shows each step as a badge.

  • Completed steps are highlighted, and the current step is marked for easy visibility.

  • Clicking a badge takes you directly to the action for that step (e.g., Assign Dimensions).

Customizing the Flow

Admins can modify step names, order, or optional captions in Settings → Onboarding Steps.
Changes update instantly across all profiles.

Tip: Use the activity log in each person’s profile to audit exactly when each step was completed and by whom.
