Adding and Configuring Fields

Fields define the structure of your collection. Each record in the collection will include these fields, which can be text, numbers, dates, relationships to other datasets, and more.

Open Your Collection

  1. Go to Collections in the left sidebar.

  2. Click the collection where you want to add or edit fields.

  3. In the collection workspace, choose Add Field.

Step 1 – Choose Field Type

Select the type of data this field will store:

  • Text / Long Text – Single or multi-line text.

  • Number – Integer or decimal values.

  • Boolean – True/false toggle.

  • Date / Date and Time – Calendar-based entries.

  • Phone, Email, URL – Pre-formatted contact or link fields.

  • Options – Dropdown with predefined choices.

  • Relation – Link to another collection, person, room, or dimension.

Click Next to continue.

Step 2 – Basic Info

Enter the essentials:

  • Field Name (required): The label shown to users.

  • Help Text (optional): Short hint displayed under the field.

  • Toggle Required Field if users must fill it in.

  • Toggle Unique Values to enforce that each record has a unique entry.

Click Next.

Step 3 – Configuration

Fine-tune how the field behaves:

  • Show in list – Display this field in the collection’s list view.

  • Searchable – Allow searching/filtering on this field.

  • Placeholder – Optional sample text.

  • Minimum / Maximum Length – Validation for text-based fields.

Click Create Field to save.

Editing or Reordering Fields

  • Use the pencil icon next to a field to edit its settings.

  • Drag fields to reorder how they appear in the record form and list views.

Tips for Better Data

  • Use Relation fields to connect collections to People, Rooms, or other collections for powerful cross-referencing.

  • Keep field names concise and descriptive for easy searching.

  • Apply validation rules (required, unique, length) to maintain data quality.

Reminder: You can update or remove fields anytime. Changes apply instantly to all records in the collection.
